Teaming up with the CTO and rebuilding the data warehouse

With a $22M investment, Rentman's next goal was to improve their data management and dashboards. Despite having a BigQuery data warehouse, data issues held them back from gaining valuable insights.

The challenge

When we first stepped in, Rentman’s BigQuery data warehouse was disorganized and lacking structure. Navigating it was hard, and much of the data was outdated, leading to low usage. Their current dashboards in Tableau took forever—up to 10 mins—to load, causing users to avoid them. In addition, inconsistencies across different tools meant didn't have a single source of truth, leaving everyone in the dark when it came to meaningful insights.

Our approach

  • We kicked things off with a deep dive into Rentman’s BigQuery setup to find the inefficiencies and redundancies. We prioritized these issues based on how urgently they needed fixing and their impact on the business. To streamline access, we set up separate BigQuery instances for development and production. 
  • Working hand-in-hand with the CTO, we created a standardized and scalable data model specifically for Rentman’s needs.
  • Introduced a system with staging, bridge, and production tables to keep data organized and efficient.
  • Implemented Mage.ai for data orchestration, which sped up collaborative data transformation and processing.
  • Identified and validated new Key Performance Indicators (KPIs) to provide actionable insights.
  • Created new dashboards for RevOps, Sales, Marketing, and Customer Success, making data interpretation easier and supporting smarter business decisions.

The results

The upgrades to Rentman's data infrastructure led to the following gains:

Cut out the need for a Tableau license by introducing Looker Studio, saving costs every year.
Access to accurate and timely insights across financials, marketing, sales, customer success, and RevOps.
Reduced data load times from ten minutes to almost real-time, making the dashboards more usable and functional.
Established a reliable single source of truth across the company, creating a data-driven culture and improving collaboration between departments.
